Two ways to print an Excel spreadsheet to a PDF document, online or offline, at no cost.

To manually print an Excel workbook to PDF, open the Excel file, print, and save it as a PDF—simple. Otherwise, you can also convert the Excel file to PDF for free using our online converter, without having to open the file. We’ll guide you through both methods below to help you out.

How To Print Excel to PDF From Microsoft Excel

  1. Open your Excel file.

  2. Click “File” and then “Print.”

  3. On the next window, choose “PDF,” “Save as PDF.”

  4. Adjust the formatting if needed, and click “Print.”

This will “print” the Excel file to PDF format. Once you open the PDF, you can continue to edit and search for the saved content, but individual values will be protected from being altered. Microsoft Office will also make sure that the change in file formats will not affect the print quality of the file. So, it should look identical to the original Excel file.

Remember to save if you’re opting to print to one of these different file formats.
